INFORMATION FOR YEARLY MEETING RECORDS

It is the duty of each Monthly Meeting to appoint a Statistical Recorder to keep a record of marriages and all changes in member- ship such as births, deaths, membership acceptances and releases, military status. The Monthly Meeting Recorder is also to make a copy of all certificates of marriages which have been held under the care of the Meeting. One copy of answers to the questions be- low should be sent to the Yearly Meeting Clerk, and one copy to the Yearly Meeting Recorder. The information should be for the year from July 1st of the previous year to June 30th of the current year.

1. Please report any new developments, such as new Meeting, Preparative Meetings or worship groups. Have an been discontinued?

2. What is the combined number of families and individuals to whom the printed minutes and literature of the Yearly Meetings should be sent?

3. Give names and dates of deaths and births of members between July 1st and June 30th. How many births, deaths, membership transfer to or from, new memberships or removals have there been? What is the total membership?

The Yearly Meeting Recorder has a supply of printed forms to be used in keeping records of our members. It is important that we record this information concerning members since we are an incorporated religious society. Monthly Meetings may wish to use the same form for records of Meeting attenders, but the information should be kept separate from that of members when sending a statistical report to the

Yearly Meeting Recorder. Names of attenders may be included in the list of births, marriages, and deaths which follows the statistical report in the printed minutes.

Birthright membership occurs when both parents are members, unless the parents request otherwise. When only one parent is a member, the births of their children may be noted on the parent's record page, but the children are not members of the Meeting unless the parents request it, or until the children request membership and are accepted.

Sojourning members should not be counted in arriving at total membership figures.

It is further suggested that a committee be appointed annually to examine the membership records.

Where there are Friends' burial grounds, records should be kept of all plots there. It is advisable that historical records be maintained by each Monthly Meeting so that all information on major events can be readily available without searching the Minutes.
